Introduction
E-Commerce Print Prep (“we,” “our,” or “us”) provides prepress and production data services for printing and fulfillment teams (including UV flatbed workflows). This Privacy Policy explains how we collect, use, protect, and handle information when you use our services and website.
Our core principle: we collect only the minimum data necessary to process production files. We do not need, request, or use your customers’ contact/shipping/payment details. If any customer-identifying information appears inside personalization fields because it is printed on the product, we process only what is necessary to generate the requested output.
Roles (Controller / Processor)
- For your business/contact information, we act as the data controller.
- For order-related production data you provide (order lists, personalization fields, artwork), we generally act as a service provider / processor on your behalf, following your instructions.
1. Information We Collect
1.1 Client Business Information
When you sign up or work with us, we may collect:
- Company name and contact person name
- Business email address
- Phone number (optional)
- Billing information needed for invoicing (note: payment card details are handled by payment providers, not stored by us)
- Estimated order volume
1.2 Order Processing Data
To process your production files, we may collect:
- Order identifiers: Order IDs, SKUs, quantities
- Personalization data: text, images, and instructions needed to generate the printed result
- Artwork files: design templates, illustration libraries, and product images you provide
- Technical specifications: jig dimensions, printer/layout rules, bleed/margins, color profiles (when supplied)
1.3 What We Do NOT Collect
We deliberately do not collect or require:
- Your customers’ email addresses
- Your customers’ phone numbers
- Shipping or billing addresses
- Payment information or credit card details
- Any customer contact/identity data beyond what is necessary for personalization printed on the product
1.4 Website Usage Data
When you visit our website, we may automatically collect:
- IP address and browser type
- Pages visited and time spent on site
- Referring website (if any)
- Device and operating system information
We use this data only to operate and improve the website and service quality.
2. How We Use Information
2.1 Service Delivery
We use collected information to:
- Process production data (match artwork, apply personalizations, create batches)
- Generate print-ready deliverables (e.g., PDFs and Table Maps or equivalent production manifests)
- Create gift messages/inserts when requested and when the content is provided by you
- Communicate with you about status, issues, and delivery windows
- Provide support and answer operational questions
2.2 Service Improvement
We may use aggregated, non-identifiable information to:
- Improve workflows and operational reliability
- Develop service improvements
- Analyze performance and quality

We may use or disclose information when required by law or to:

3. How We Protect Information
3.1 Security Measures
We implement reasonable, industry-standard security practices, including:
- Encryption in transit: file transfers use HTTPS/SSL when supported by the platform
- Access control: only authorized personnel access client data
- Secure storage: files stored on password-protected systems; encryption at rest where supported
- Backups: used as needed to prevent accidental loss during active work
3.2 Data Retention
We follow a retention approach designed to minimize stored data:
- Active orders: retained during processing (typically 24–72 hours)
- Completed jobs: retained up to 90 days after delivery, then deleted
- Artwork libraries: retained for active clients; typically deleted within 30 days after service termination unless otherwise agreed in writing
- Business records (invoices/accounting): kept as required by Brazilian tax/accounting rules
3.3 No Long-Term Order Database
We do not maintain a long-term database of your orders. Files are processed, delivered, and deleted on a rolling basis according to the retention periods above.
4. Information Sharing
4.1 We Do NOT Sell Your Data
We do not sell, rent, or share your data with third parties for marketing purposes.
4.2 Service Providers
We may use third-party services to deliver the service, such as:
- File delivery/storage: Dropbox, Google Drive, MEGA, WeTransfer, or similar platforms
- Communication: Gmail / Google Workspace, WhatsApp
- Payment processing: PayPal, Stripe, Payoneer (they process payment data directly)
- Project management: Trello, Asana, Monday (when applicable)
- Order tooling/integration: ShipStation, Order Desk (when applicable)
- Other similar tools as required for service delivery
These providers operate under their own terms and privacy practices and may process data in various countries depending on their infrastructure.
4.3 Legal Requirements
We may disclose information if required by law, court order, or government regulation.
5. Your Rights and Choices
5.1 Access and Correction
You may request to:
- Access the information we hold about your business contact record
- Correct inaccurate or incomplete information
- Request deletion, subject to legal retention requirements
5.2 Data Portability
You can request a copy of the business contact information we maintain about your company (e.g., company name, contact name, business email, phone number, invoicing details) in a commonly used format such as CSV or PDF.
5.3 Withdrawal / Termination
You can stop processing by:
- Canceling the service
- Requesting deletion (subject to retention requirements)
- Revoking access to any connected systems you control (e.g., ShipStation, Order Desk), when applicable
5.4 Marketing Communications
We send service-related communications (updates, delivery confirmations). We do not send marketing emails unless you explicitly opt in.

6.1 Website Cookies
Our website may use cookies for:
- Essential cookies: basic site functionality (forms, preferences)
